Role Description
We are seeking a detail-oriented, organized, and self-driven Construction Project Assistant & Office Manager to support our project teams and manage daily office operations. This dual role is essential to ensuring efficient project execution and a smooth office environment.
This is a part to full-time on-site role. As an Administrative Assistant, you will be responsible for providing general administrative support, managing phone calls, and assisting with various clerical tasks. You will work closely with our team to ensure smooth office operations and excellent customer service.
Key Responsibilities:
• Assist project managers in coordinating project timelines, budgets, and resources • Maintain project documentation, including contracts, change orders, and invoices
• Schedule meetings and site visits, ensuring all stakeholders are informed • Manage office supplies and inventory, keeping the workspace organized
• Handle correspondence and maintain communication with clients and subcontractors
• Support HR functions, including onboarding and employee records management
Qualifications:
• Proven experience in construction administration or project management
• Strong organizational skills with a keen eye for detail
• Proficient in Microsoft Office Suite and project management software
Qualifications
- Project Assistance & Office Management experience very helpful
- Attention to detail and excellent organizational skills
• Excellent communication and interpersonal skills
• Ability to work independently and manage multiple tasks effectively
- Must be self-directed and stay on task
- Strong phone etiquette and communication skills
- Proficiency in clerical tasks and office management
- Ability to prioritize tasks
- Experience in the interior design and/or construction industry
- Familiarity with design software and tools is a plus
- Positive, can-do mindset a must
