SUMMARY:
We are seeking a dedicated Personal Assistant to provide comprehensive support to our Founder and CEO in Dallas, TX. The ideal candidate will be highly organized, detail-oriented, and capable of managing multiple tasks efficiently while anticipating the needs of our CEO and executive team. The ideal candidate for this role possesses excellent project management and organizational skills, and is willing to help out wherever needed.

KEY RESPONSIBILITIES:
- Perform data entry tasks and maintain accurate records
- Assist with clerical duties such as filing, scanning, and organizing documents
- Assist with both business and personal tasks and some errands.
- Coordinate and work very closely with the Executive Assistant (part-time), who manages the CEO's calendars, appointments, and travel arrangements
- Listen and ask questions in order to understand the CEO's vision, goals and objectives in order to effectively anticipate deliverables and follow up with the CEO (and others) when necessary.
- Proven ability to be a "quick-start" who quickly turns tasks around and takes action; knows how to be persistent and resourceful to solve problems, remove roadblocks and get things done especially while under pressure!
- Provide support in event planning and coordination
- Offer executive administrative support as needed
- Utilize Google Suite and shared drive for all document filing ensuring the proper folders are used for work.
- Familiarity with DocuSign and Pandadocs for document management
- Deliver exceptional service to internal and external stakeholders
- Gatekeeper of the CEO’s time including manage phones and directing calls appropriately
- Handle correspondence and communicate effectively on behalf of Dr. Anna and team
- Communicate with executive team as needed
- Other tasks and responsibilities as needed
REQUIREMENTS:
- Ability to maintain confidentiality and exercise discretion at all times is critical!
- Proven experience as a Personal Assistant with a genuine passion for supporting others.
- Exhibits strong professionalism - demonstrated poise, tact, and diplomacy when dealing with the CEO, other leaders and members of the team
- Proficiency in Microsoft Office Suite and Google Suite, Asana, Slack including Google slides and Google docs, sheets
- Strong organizational skills with the ability to prioritize tasks effectively
- Strong time-management skills with proven ability to juggle multiple project deadlines
- Excellent communication (verbal, written) and interpersonal abilities
- Flexibility to travel 25% of the time
- Schedule hours and location will vary based on Dr. Anna’s schedule
