The event industry is very exciting and working on the venue end will give you exposure to all sides of planning & executing events. You will increase your network working together with vendors (caterers, AV, scenic, etc). and expand your knowledge of managing a venue. The AES SoHo Associate Manager position is focused on assisting the AES SoHo Manager in all aspect of the project life cycle of an event and directly managing events at AES SoHo Venues (this currently includes 45Grand and 21Greene)
The AES SoHo Associate Manager will be responsible for the following items:
- Directly managed by and report to the AES SoHo Senior Manager
- Administrative lead on all aspects of the project life-cycle as it relates to the AES SoHo Venues
- Attend networking events alone or with team members to promote AES NYC venues.
Assistance with the inquiry and sales pipeline, which includes the following:
- Site visits with prospective clients, producers, signed clients, vendors, etc.
- Meeting Minutes
- CRM updates
- Proposal and contract development
- Email correspondence
- Creating and updating marketing materials
Assistant with the management of the pre-production process with Client after Contract signature. This includes, but is not limited to:
- Site visits
- Coordination of pre-event items (schedules, floor plans, COIs, etc)
- Managing the TPA and Alt-3 process with AE Team and DOB
- Coordination of any building requirements or operational upgrades
- Coordination on logistics for building access
- Communication and coordination with AES Required Vendors
Venue Management of the event during the Venue Rental process. This includes, but is not limited to:
- Development of schedule for venue staff, porter staff, cleaning, freight, etc.
- Development of Venue Rental documents
- Inspection walkthroughs with DOB and FDNY
- Operational management and review of the Venue to ensure that the space is “Event Ready”
- Management of client and vendor expectations during the event
- Check in with client and building to make sure both stakeholders are good
- Coordinate with required and preferred vendors and the venue before, during and after an event
- Coordinate with the Operations Team for any maintenance work and/or small to medium capital projects required to restore or renovate the AES SoHo Venues.
Salary Range:
We are looking for someone with the following background & skillset:
- 1-2 Years of Experience in Venue Management, Event Coordination, Marketing Agency and/or Event Vendor (Audio, Visual, Caterer, Rentals, etc).
- This position will require in-office at least 4 days a week
- Typically normal business hours (9A - 5P) during non-rental days
- Hours will vary during client venue rental periods
- Venue manager hours may include early mornings, late nights and weekends or being on-call, OT offered when applicable
- Administrative skills (organization, timeliness, communication, etc.) is an absolute must
- Comfortable Working with a Team is very important
- Very Organized (Important!), Accountable and Reliable
- Proficient with Microsoft Office (word, powerpoint, outlook, excel) and Google Suite (slides, docs, sheets, gmail and drive)
- Good Time Management Skills
- Willing to Ask Questions and Take on Challenges
- Previous experience in client relations and/or services is a plus.
- Project Management skills are a plus
- Experiential Marketing experience a plus
- AV Experience, Venue Experience or Event Experience is a plus
