Job Description
Summary: The Administrative Assistant will provide comprehensive support to GRS Mentor-Protégé Program Team, focusing on government contracting, international relations, and opportunities within the U.S. Department of State and diplomatic missions. This role includes managing proposal documents, conducting research, and preparing PowerPoint presentations. Additional responsibilities include organizing GRS' MPP team members calendar, scheduling meetings, and ensuring smooth daily operations. This is a REMOTE FULL TIME position.
Research Support
Essential Duties & Responsibilities:
- Conduct in-depth research on government contract opportunities, particularly with the U.S. Department of State, diplomatic missions, and international partnerships, and prepare findings for GRS.
- Identify and explore partnership opportunities within U.S. government departments, especially focusing on enhancing strategic diplomatic and international relations.
- Document Review: Assist with the review, proofreading, and preparation of proposal documents for submission, ensuring compliance with U.S. government and international standards.
- Presentation Assistance: Collaborate with GRS to create and edit PowerPoint presentations for client meetings, internal reports, and proposal pitches related to government and diplomatic engagements.
- Calendar Management: Organize and maintain GRS' calendar, scheduling meetings, appointments, and reminders.
- Meeting Coordination: Plan, organize, and prepare for meetings with governmental authorities and international partners, including drafting agendas, taking notes, and tracking action items.
- Communication Support: Serve as a point of contact for internal and external communications, managing emails, phone calls, and messages related to diplomatic missions and government outreach.
- Administrative Tasks: Handle general administrative duties such as filing, data entry, and maintaining office organization, particularly focusing on international relations and governmental projects.
Requirement
Postgraduate Diploma in Business Administration
Bachelor of Business Management (BBM)
High School or equivalent Diploma
Skills
- Proven experience in an administrative or support role, preferably with exposure to government contracting, international relations, or diplomatic missions.
- Familiarity with U.S. government funding mechanisms, diplomatic processes, and strategic engagements within the U.S. Department of State.
- Strong research skills, particularly in identifying government and diplomatic opportunities.
- Technical Skills:
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and document management tools
- Communication Skills: Excellent written and verbal communication skills, with attention to detail in proofreading and document review.
- Time Management: Ability to work independently, manage time efficiently, prioritize multiple tasks, and meet tight deadlines in a fast-paced environment.
- Preferred Skills:
- Experience in supporting proposal development and document review for government contracts and diplomatic missions.
- Knowledge of U.S. Department of State processes and international relations.
- Familiarity with scheduling and calendar management tools in a government or diplomatic context.
- High attention to detail and the ability to work in a dynamic, fast-paced environment.
- Ability to read/write English language.
