The mission of Paz de Cristo Community Center is More Than a Meal, we Feed, Clothe and Empower our Neighbors in Need in the Phoenix East Valley. We are seeking an experienced, mission-driven Administrative Assistant to join our team and provide administrative support to the Executive Director, Executive Leadership, and the Board of Directors as well as serve as the receptionist for the organization and ensure the efficient operation of the organization by performing a variety of clerical and administrative tasks.
Essential Duties/Responsibilities:
- Answers, screens, and routes phone calls. Provide basic information on programs and services.
- Welcomes and directs donors, volunteers, vendors, and clients.
- Maintains records, meeting minute library, filing systems, and other related documentation as assigned; manages and adheres to records retention/destruction procedures.
- Prepares the Board of Directors’ monthly packet, agendas, and schedules for meetings; transcribes, distributes, and files minutes and other records.
- Maintains office supplies and coordinates maintenance of office equipment.
- Assists with creating, editing, and formatting program organization publications and communications as requested.
· Assists with data entry and reviewing of program services in the company database(s).
· Manages mail receipt, sorting, and routing of organizational mail.
- Performs other related duties as assigned.
Required Skills/Abilities:
· Typing 45 WPM.
· Exceptional attention to detail and ability to thrive in a fast-paced environment.
· Excellent interpersonal, verbal, and written communication skills.
· Able to demonstrate a great deal of patience and respect towards the people we serve.
· Exercise good judgment and maintain confidentiality in communications with the public, donors, volunteers, community partners, and people experiencing homelessness or mental health issues.
· Independent thinking and creative problem-solving.
· First-rate time management and organizational skills; keen attention to detail.
· Ability to adapt to changing priorities in a fast-paced environment.
· Proficient in Microsoft Office Suite including Outlook, Excel, Word, and PowerPoint.
· Ability to work independently and as part of a cross-functioning team.
Required Experience and Background:
· 3-5 years’ experience as an administrative assistant.
· Proficient in Microsoft Office tools including Outlook, Word, EXCEL, and PowerPoint.
· Familiarity with nonprofit organizations, preferably human services.
Preferred Experience and Background:
· Bi-lingual English/Spanish
· Social media/Graphic design experience
· Previous experience in customer service or as an office manager.
· Experience working in social/human services, specifically with people experiencing homelessness or mental health disorders.
Working Conditions:
· Primarily indoors with prolonged periods sitting at a desk and working on a computer.
· Ability to lift 25 pounds at a time unassisted.
· Occasional activities and assignments outdoors, in the dining room, or in the warehouse.
