We are a San Francisco Bay Area-based nonprofit formed to assist young adults in developing a healthy sense of self as they design a path to a successful trades career; fortifying the trades workforce and supporting the needs of our local community through multi-week on-site programs. Position Summary:
Reporting to the Executive Director, the newly designed full-time Program & Administrative Associate position will have responsibilities for the effective execution of Fortitude’s mission and manage all aspects of the day-to-day operation of the 501c3, now in its fi ft h year of operation.
Program Support Responsibilities:
- Interact and communicate with program participants and program staff to ensure efficient delivery of services.
- Build and manage industry partner, participant, volunteer, donor and grant management tracking systems
- Support outreach eff orts via print, photos & videos, social media and events such as the student showcase & graduation
- Build and maintain process control for grant administration and compliance; interact with participants and grantmaking staff to comply with all contract requirements
- Develop and maintain detailed participant records
Administrative Responsibilities:
- Schedule and attend meetings and take detailed notes, document key decisions and action items, and distribute notes to participants
- Prepare and distribute project-related documents, such as status reports, meeting minutes, and progress updates
- Maintain accurate and organized project documentation, including project plans, schedules, and reports Provide administrative support to the ED, Admin Director, Instructors and Board of Directors and committee and subcommittee members as needed
- Monitor resource mailboxes daily and ensure timely communication and accurate tracking for all incoming and outgoing correspondence
- Assist with the set-up and maintenance of an online information gathering tool for collaborative use
Qualifications
- Minimum 5 years of experience in project coordination/support
- Advanced Microsoft Office (i.e., Word, Excel, Outlook, OneNote, and PowerPoint)
- Excellent organizational and time management skills which include communication and interpersonal skills, and ability to work in a fast-paced environment that demands flexibility and innovation.
- Ability to grasp new concepts quickly and integrate into day-to-day tasks
- Strong attention to detail and highly organized
- Friendly and professional demeanor
- The ability to multi task and work independently, with minimal supervision
- Startup mentality a plus
Working at Fortitude: Fortitude is a rapidly growing nonprofit organization based in San Mateo, California, now entering its fi ft h year of operation. As we transition from an all-volunteer structure to a professionally staff ed team in 2024, we are expanding both our workforce and programming. In January 2025, we plan to relocate to new office and workshop facilities in the San Mateo/Redwood City area.
