SUMMARY
The Executive Assistant will play a critical role in ensuring the smooth operation of the C-suite office and providing high-level administrative & operational support. This position requires a proactive, detail-oriented individual with exceptional organizational and communication skills.
Preference for candidate based in Chicago.
RESPONSIBILITIES
Executive Support:
- Manage complex calendars and schedules, coordinating meetings, appointments, and travel arrangements.
- Prepare correspondence, reports, and presentations as required.
- Handle confidential information with utmost discretion.
- Coordinate domestic and international travel arrangements.
- Manage expense reports and reimbursements.
- Some local travel required to run errands.
- Office Management:Coordinate office events and meetings.
- Manage incoming and outgoing correspondence.
- Project Coordination:Provide administrative and operational support for client meetings and internal meetings
- Create checklist of things to do and hold the leader accountable
- Coordinate with internal and external stakeholders as needed.
- Relationship Management:Build and maintain strong relationships with internal and external stakeholders.
- Act as a liaison between the C-suite and other departments.
QUALIFICATIONS
- Proficiency in Microsoft Office and Notion
- Proven experience as an Executive Assistant supporting C-suite executive.
- Strong organizational and time management skills.
- Excellent written and verbal communication skills.
- Ability to prioritize tasks and meet deadlines.
- Discretion and ability to handle confidential information.
- Strong attention to detail and accuracy.
- Preference for Chicago based candidate with marketing / agency experience
