The Human Resources Coordinator will provide administrative support to the Human Resources function. Working in close collaboration with the Director, Human Resources, the incumbent will help facilitate all administrative support for payroll and benefits administration. This position is fundamental as it provides support for the daily operations of the New York office, and employee engagement, requiring someone who can prioritize and manage competing priorities.
Reports to: Director, Human Resources, US Region
Key Accountabilities
Human Resources Administration:
- Administers employee record systems to include compensation, performance management, and maintenance of employee records. Ensuring data accuracy through self-audits and reports
- Performs routine filing, scanning, and archiving of records to ensure record retention compliance
- Assists in benefits data administration to include activation and termination in various third-party systems
- Facilitates employee terminations and submits related documentation
- Facilitates the orientation and onboarding of all new employees
- Ensures compensation changes are completed on time, audits payroll, and ensures payroll is completed by the deadline
- Coordinates and verifies pre-employment background checks, E-Verify, I-9 compliance, employee badging and issuance of equipment
- Support the HR team on all administrative requests
Office Administration
- Answer all incoming calls and escalate to the relevant individuals/departments
- First point of contact for all visitors (internal and external)
- Access pass set up and administration
- Ensure office is fit for purpose and well equipped (meeting rooms, kitchen, stationary room, stock management)
- Arrange couriers and food orders
- Open mail on a daily basis and escalate to the relevant individuals/departments
- Documentation and budgets kept up to date (billing/invoice records, supplier agreements/contracts, insurance admin etc.)
- Manage all issues and complaints from employees regarding facilities and escalate in a timely manner
- Proactively suggest and implement ways we can improve the office environment and functionality
Events
- Partner with the Employee Experience team to coordinate company employee events and celebrations such as social events
- Ensure smooth onboarding & offboarding process for all employees (including equipment delivery & return)
- Support the Benefits team with benefit related administrative tasks
Must Haves
- Completed a degree in Business/Human Resources
- 3+ years working hands-on within Human Resources
- Excellent knowledge of computer-based HR systems
- A high level of time management, accountability, and prioritization
- Outstanding communication skills - both verbal and written
- Highly organized and able to multitask, prioritize and proactive
- Strong ability to influence desired outcomes by master relationship building
- Strong attention to detail and high-quality work
- Ability to perform in a fast-paced work environment
Note: New York City (Hybrid role) 3 days in office
Salary Range: $70,000/year - $80,000/year USD
