Our Gen AI Journey
Founded in 2017, we shipped multiple NLP/ML product iterations pre-chatGPT. In 2023 we rebuilt our core AI platform using GenAI.
We’re not your average Gen AI startup, gradually layering LLMs on. We’re all in. We have more than 15 unique LLM use-cases in production with 10+ LLMs under the hood. We have shipped multiple first-of-its-kind customer experiences including video workflow analysis, natural language analytics, complex table parsing, and table-matching. To date, we have processed 600,000+ documents through our GenAI platform.
Job Summary
We are seeking a dynamic, organized, and personable Executive Assistant to the CEO, Office Manager & Front Desk Coordinator to join our team. This role combines executive support, office management duties along with front desk responsibilities, ensuring our CEO is able to fulfill internal and external commitments, our workplace operates smoothly and efficiently while providing a welcome environment for our visitors, clients, and employees. The ideal candidate is a strong communicator, detail-oriented, proactive, and enjoys contributing to a collaborative and supportive environment.
In This Role, You Will
Executive Assistant to the CEO (40%)
- Calendar and Meeting Management: Coordinate and manage Klarity’s CEO schedule, including arranging meetings, appointments, and conference calls, and ensuring proper prioritization of commitments. Familiarity with Bay Area geography and commuting times is required.
- Travel Coordination: Plan and arrange complex travel itineraries, including booking flights, hotels, and transportation, as well as preparing travel documents and itineraries for the executive.
- Administrative Support and Special Projects: Provide comprehensive administrative support for day-to-day operations and assist with special projects as needed, including event planning, expense report management, and tracking key deliverables.
- Communication Support: Handle communication on behalf of the executive, including responding to emails and maintaining professional interactions with internal and external stakeholders.
Office Management (40%):
- Administrative Support: Manage day-to-day office operations, including supply ordering, office equipment maintenance, and vendor coordination.
- Office Coordination: Ensure the office is organized and well-maintained throughout the day
- Meetings & Events: Coordinate internal meetings, internal company events, and team-building activities. Assist with catering, room setup, and equipment needs.
- Documentation: Maintain accurate filing systems and office procedures, handle confidential information with discretion
Front Desk Coordination (20%):
- Greeting & Directing Visitors: Serve as the first point of contact for all visitors, providing a warm, professional welcome. Help connect visitors and clients to the appropriate contact person. Keep the office secure by ensuring sign in of all visitors, or badge in by employees
- Mail & Deliveries: Manage incoming and outgoing mail and deliveries
- Customer Service: Provide excellent customer service to Klarity employees and external clients, addressing concerns promptly and professionally.
Preferred Qualifications
- Education: Whatever we typically put on Job Descriptions
- Experience: 2+ years of experience in office administration, front desk, or office management roles, 2+ years of experience as an executive assistant. Has worked in a fast scaling startup environment
- Skills:
- Strong organizational and multitasking abilities.
- Excellent verbal and written communication skills.
- Proficiency in Google Suite and familiarity with office equipment.
- High level of professionalism and strong customer service skills.
- Ability to manage time effectively and prioritize tasks with minimal supervision
- Comfortable with technology and learning new systems.
