Accounting Associate Job Description

The Accounting Associate is responsible for the support and administration of the overall financial operations and general accounting, data integrity and accuracy of the accounting function; the timeliness, data integrity, and accuracy of SalesTrak (internal database) and QuickBooks Desktop.

Job responsibilities include (but are not limited to) the following:

Ensures the general accounting is being conducted in an accurate and timely fashion. Adheres to proper accounting procedures and generally accepted accounting principles with reporting and operating functions.

Maintain electronic document repository ensuring integrity and redundancy of company records
Process invoices for goods and/or services received
Reconcile various organizational accounts
Review monthly vendor statements for accuracy
Monitor and process Outlook Accounting email inbox
Maintenance of QuickBooks Desktop tax rates, data entry of new customers and/or vendors, data entry of payables and receivables, and close projects
Ensures completeness and accuracy of data and proper identification of accounts
Process credit card payments
Process journal entries for project fees
Payroll entry
Process reimbursement payments via Expensify
Day-to-day support of banking functions such as remote deposit capture
Generate QuickBooks Desktop reports as requested including Cash Flow
Accounts Payable including transaction creation in bank portal, vendor ACH communications, and compiling and evaluating accounts payable
Accounts Receivable including QuickBooks Desktop posting and electronically filing the image
Lien management including process requested customer lien releases, LevelSet lien releases and follow-up, and maintain pre-lien tracking spreadsheet
Data entry of receivables in SalesTrak
Research missing invoices and associated issues
Review and compare QuickBooks Desktop to SalesTrak reports for variations
Request and obtain necessary business entity documents such as W9’s and Reseller Permits
Request and obtain tax certificates
Generate weekly, monthly, quarterly, and annual financial reports as directed
Performs data input into a variety of fiscal, procurement and function specific spreadsheets and databases
Set-up and communicate with new vendors
Credit reference screenings
Support financial report completion as requested for taxes, CPA requests, and/or bank requests

Education & Experience Requirements:

Education requirement:

· Associate’s Degree

· Bachelor’s Degree in Finance preferred

Professional experience:

· Background emphasizing business and accounting acumen

· Minimum of two (2) years hands on accounting experience with posting of financial data, reconciliation of financial data, support for and preparation of financial statements, or an equivalent combination of education and experience

· Familiarity with HVAC systems and temperature control equipment preferred

Skills and administration:

· Proficiency with QuickBooks Desktop, Microsoft Office, and Adobe Acrobat

Exceptional written and verbal communications skills
Ability and willingness to communicate in a clear, concise, and diplomatic manner
Outstanding attention to detail
Willingness to collaborate in a team setting
Excellent organizational skills
Candidate must have ability to develop and maintain deep customer and stakeholder relationships based on trust
