Description
We are offering an opportunity for an Administrative Assistant in the education industry, specifically within a university setting, located in Pomona, California. The role will primarily involve a variety of administrative tasks that support the smooth operation of the university. The employment type for this role is a long-term contract.
Responsibilities
- Supervise and oversee examinations to ensure all procedures are adhered to and maintain the integrity of the process.
- Assist with the organization and setup of exam materials and testing environments.
- Responsible for processing Time Off Requests (TORs) and handling some TDX (Ticketing System) tickets.
- Create, distribute, and collect sign-in sheets or attendance quizzes for various events or meetings, maintaining accurate records of attendance and participation.
- Coordinate lunch orders and setup for committee meetings or events, ensuring timely delivery and setup of catering services, as well as cleanup afterwards.
- Manage the creation, editing, and posting of content on SharePoint platforms, ensuring that all information is up-to-date and organized according to established guidelines.
- Handle and process customer credit applications efficiently and accurately.
- Maintain accurate customer credit records and resolve customer inquiries as required.
- Monitor customer accounts and take appropriate action when necessary.
- Utilize skills in Microsoft Excel, Microsoft Outlook, Microsoft PowerPoint, and Microsoft Word as part of administrative tasks and responsibilities.
Requirements
- Minimum of 3 years' experience in an administrative role, preferably within the education sector
- Proven ability to manage and answer inbound and outbound calls professionally
- Excellent customer service skills with a focus on providing a positive experience for all stakeholders
- Proficient in data entry with meticulous attention to detail
- Experience in managing email correspondence in a detail oriented setting
- Proficiency in Microsoft Office Suite including Excel, Outlook, PowerPoint, and Word
- Ability to schedule appointments and manage calendars effectively
- Experience in providing administrative assistance in an office setting
- Demonstrated ability to oversee administrative tasks and ensure smooth operation of the office
- High school diploma or equivalent education level is required; Associate's or Bachelor's degree is preferred
- Excellent written and verbal communication skills
- Ability to work independently and collaboratively within a team.
- Strong organizational and time management skills, with the ability to prioritize tasks effectively.
