JOB STATEMENT:
Reporting to the Manager, Administration, this role will be responsible for supporting the larger Operations team with project management support. Working closely with the Managers, Directors, and Subject Matter Experts (SMEs), the candidate will coordinate working group activities on projects and initiatives and be an important contributor to the Operations transformation program.
With a keen eye for detail, and a desire to learn, this person will enjoy supporting various functional teams, and leading their projects and initiatives. The candidate will be a self-starter, with an ability to multi-task, while working in a fast- paced environment. The preferred candidate will require strong communication skills, with a focus on problem resolution. This role requires a desire to learn, the ability to work in an agile setting, and a team-focused mentality. This position provides opportunities to collaborate with Operations leaders and other stakeholders across the enterprise. This role is important to ensure smooth project delivery and the organization of multiple workstreams and deliverables.
ESSENTIAL FUNCTIONS:
- Documenting the business and technical requirements and specifications for each assigned initiative;
- Defining business problems, gather insights, and offer solutions, which includes preparing documents and reports, outlining findings and recommendations;
- Documenting, measuring and evaluating client processes while identifying gaps, issues, and root causes in consultation with SMEs;
- Working collaboratively to develop and standardize tools and processes based on best practices and organizational needs;
- Developing and providing project management support including status reporting, monitoring, updates, meeting logistics, risk management, and meeting minutes documentation;
- Developing administering, managing, and updating the project plan;
- Providing testing support for the project including, planning coordination and execution of test cycles;
- Conducting and facilitating test status and defect meetings with project team members, key stakeholders, and senior management to track progress and defect resolution;
- Supporting workstream efforts leading up to go-live;
- Documenting dependencies between working groups;
- Championing a customer focused culture to deepen client relationships and leverage broader relationships, systems and knowledge;
- Supporting the leaders in Operations in creating administrative efficiencies to reduce operating expenses and decrease administrative errors;
- Supporting change management, communications, and stakeholder engagement coordination; and
- Performing other duties and projects as assigned.
QUALIFICATIONS:
- University degree or equivalent
- 3-5 years of investment industry experience; previous experience in dealer back office preferred.
- Results driven, attention to detail with the ability to work collaboratively, professionally and effectively in a team-oriented environment.
- Strong analytical skills required to identify problems, resolve issues, evaluate possible alternatives and implement solutions.
- Results driven, with keen attention to detail, and the ability to work collaboratively, as well as independently.
- Strong verbal and written skills for stakeholder engagement and team coordination.
- Strong analytical skills, desire to learn, and evolve with the department.
- Strong knowledge of Microsoft Office tools required; intermediate to expert working with MS Projects,
- Excel and PowerPoint
- Project workflow, and Business Analyst experience, an asset
- Broadridge/Dataphile, FundSERV, CDS, Cannex, Salesforce knowledge, an asset
- Bilingual an asset (French)
