FRONT OF HOUSE (RECEPTIONIST / OFFICE ADMINISTRATOR) – FULL TIME
SALARY: CIRCA £22,000 – £25,000 DEPENDING ON EXPERIENCE
We are currently looking to fill a “Front of House” position, based within our new office premises at Sibbald Walk, New Waverley Square, Edinburgh. As ‘Front of House’, the successful candidate will be the first point of contact for all visitors coming into the office, as well as for all incoming calls to the business, providing a warm welcome to all. They will also have responsibility for a number of administrative tasks essential to the smooth running of the office. This opportunity will suit a candidate with reception experience as part of a previous role and who is looking to further this aspect of their career within the legal environment. Duties will include:
- Answering telephone calls and referring the caller to the appropriate person or taking a full message if required.
- Greeting clients and visitors when they come into the office and helping with their enquiries or referring them to the appropriate person.
- Preparing refreshments for clients and visitors
- Ensuring the front office and meeting rooms are tidy and welcoming.
- Assisting with booking client appointments where required.
- Sorting and scanning all incoming mail and uploading this to our legal software package, Instant Office.
- Preparing all outgoing mail; this includes Royal Mail, DX mail and courier mail.
- Helping manage the ‘Enquiries’ inbox and either handling these personally or forwarding to the appropriate person.
- Handling cheques safely and delivering them to the post office on time as and when required.
- Other administrative duties as required. This may include, but not be limited to, filing, photocopying, faxing, receiving proof of identification from clients, typing documents.
Skills and Experience Required:
- Previous experience in a Reception or Customer Service-related role is essential, preferably within the legal sector.
- Excellent communication skills and professional telephone manner, with the ability to understand and assist callers as well as the ability to manage a high volume of incoming calls during busy periods.
- Good organisational skills.
- Ability to work to a high level of accuracy.
- Ability to deal with clients and colleagues in a friendly yet professional manner.
- Ability to remain calm in difficult or pressured situations.
- Proficient in Microsoft Office packages, in particular, Outlook, Word and Excel.
