Job Summary: As the Front Desk Coordinator, you will be the first point of contact for our company. Your primary responsibilities include managing the reception area, handling incoming calls, and ensuring smooth communication and operations for visitors, vendors, and internal staff. This role requires a highly organized, detail-oriented individual with excellent customer service skills and a professional demeanor. You will play a vital role in maintaining a welcoming environment and assisting with various administrative tasks to support office efficiency.
Key Responsibilities
- Promptly answer and route incoming calls to the correct individuals in a courteous and professional manner.
- Obtain the key reason for the call to ensure callers or visitors are directed appropriately, reducing miscommunication and delays.
- Greet and vet visitors and vendors in a polite, timely, and courteous manner.
- Ensure proper security procedures are followed while providing a welcoming experience.
- Maintain a clean, organized, and inviting reception area at all times.
- Ensure that the front lobby is stocked with necessary materials and reflects the professional image of the company.
- Accurately manage the distribution of all incoming and outgoing mail, packages, and deliveries.
- Coordinate with couriers and internal staff to ensure timely handling of shipments.
- Assist with ordering, distributing, and maintenance of all office supplies.
- Ensure stock levels are maintained, assist with placing orders as needed to support daily operations.
- Assist the VP of HR and other departments with administrative tasks, as directed.
- Provide support for scheduling, document preparation, and other office management functions.

Requirements
Qualifications:
- High school diploma or equivalent.
- Previous experience in a front desk, receptionist, or administrative support role is preferred.
- Strong teamwork and collaboration skills.

- Ability to manage multiple tasks simultaneously with dependability.
- Outstanding customer service abilities, both internal and external.
- Professional appearance and demeanor with an approachable personality.
- Proficiency in Microsoft Office Suite and switchboard/phone systems.
- Familiarity with general office equipment (e.g., copiers, printers, etc.).
