We are seeking a professional, proactive, and highly organized Administrator Receptionist to join our busy multidisciplinary legal and consultancy practice. Our firm specializes in offering bespoke services to private clients, high-net-worth individuals (HNWIs), families, and small to medium enterprises (SMEs). As a family office with a commitment to exceptional client service, we work across multiple sectors including law, private client work and business advisory. This role will be the first point of contact for clients and visitors, offering a polished, welcoming presence at reception and ensuring smooth day-to-day office operations. The ideal candidate will be fluent in both English and Russian, possess excellent communication skills, and be able to manage multiple administrative tasks in a fast-paced environment with discretion.
Key Responsibilities:
- Reception & Client Liaison:
- Greet clients, visitors, and guests in a professional and welcoming manner.
- Handle incoming calls, direct them to the appropriate team members, and manage general inquiries.
- Coordinate client meeting schedules, book conference rooms, and ensure the smooth running of appointments.
- Act as the face of the firm, ensuring client-facing areas are presentable at all times.
- Office Administration:
- Perform general administrative tasks, including filing, scanning, data entry, and handling correspondence.
- Manage office supplies, inventory, and orders to ensure a fully stocked and well-organized workspace.
- Liaise with service providers for office maintenance and supplies.
- Manage incoming and outgoing post, deliveries, and couriers.
- Support to Legal and Consultancy Teams:
- Assist with document preparation, formatting, and proofreading for legal and consultancy projects.
- Maintain client files and databases, ensuring confidentiality and compliance with data protection regulations.
- Provide administrative support to senior members of the team as needed.
- Client Relations:
- Assist in maintaining client databases, updating contact information, and tracking communications.
- Handle confidential client information with professionalism and discretion.
- Ensure a high level of service is consistently provided to clients.
- Meeting Coordination:
- Assist with organizing and coordinating client events, seminars, and meetings, ensuring all logistical details are in place.
- Prepare meeting rooms and ensure all technical and hospitality needs are met.
Skills & Experience:
- Previous experience as a receptionist or administrator in a professional services environment, ideally within legal, financial, or consultancy sectors.
- Exceptional communication skills: verbal, written, and interpersonal.
- Strong organizational abilities: ability to multi-task, prioritize workload, and meet deadlines in a busy environment.
- High level of professionalism, discretion, and confidentiality when dealing with sensitive client information.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Strong attention to detail, particularly with regards to document handling and client management.
- Experience in working with HNWIs and private clients would be highly beneficial.
- Familiarity with legal or consultancy office processes and procedures is advantageous.
