OVERVIEW:
The Office Manager plays a crucial role in ensuring the smooth and efficient operation of the office environment. This role involves overseeing various administrative tasks, managing office resources, and providing support to both employees and management. The Office Manager is responsible for creating a productive and organized workplace.
Here are some of the EXCITING things you’ll get to do (RESPONSIBILITIES):
Administrative Support:
- Handle day-to-day administrative tasks, answering emails, reviewing contracts.
- Coordinate and scheduling appointments, meetings, and conferences.
- Maintain and organize office files, records, and documentation.
Facility Management:
- Oversee the maintenance and upkeep of the office space.
- Coordinate with vendors for office supplies, equipment, and services.
- Ensure a clean, safe, and comfortable working environment.
- Liaise with the landlord to escalate building issues.
- Organizing the office layout by assisting any desk moves, keeping floor plans up to date and escalating issues with space.
Human Resources Support:
- Assist in the onboarding process for new employees.
- Responsible for undertaking office tours for all new joiners.
Financial Management:
- Manage office budgets and expenses.
- Process invoices, track expenditures, and reconcile financial records.
- Work closely with the finance department to ensure financial compliance.
Communication and Coordination:
- Serve as a point of contact between employees and management.
- Coordinate with different departments to facilitate communication and collaboration.
- Distribute relevant information to staff members as needed.
Supervision and Leadership:
- Line manager to the office receptionist based in Leeds.
- Foster a positive and inclusive work environment.
- Conduct performance reviews and address any issues or concerns.
Event Planning:
- Plan and coordinate office events, team-building activities, and celebrations.
- Help coordinate company meetings and training sessions.
Technology and IT Support:
- Collaborate with the IT department to address technical issues.
- Ensure the availability and functionality of office equipment and technology.
ATTRIBUTES & SKILLS (REQUIREMENTS):
- Proven experience as an office manager or in a similar administrative role.
- Positive attitude.
- Strong organizational and multitasking skills.
- Excellent communication and interpersonal abilities.
- Proficient in office software and basic knowledge of IT systems.
- Ability to work independently and collaboratively in a fast-paced environment.
