Job Responsibilities:
The responsibilities of the Office Manager position include but are not limited to the following:
- Answer incoming calls and direct customers / vendors to appropriate department
- Field and respond to various customer requests for information or documentation
- Manage front entry reception area and lobby ensuring customers are greeted and directed to appropriate department.
- Ensure lobby area is always neat, clean and ready for visitors.
- Oversee inventory and purchasing of all office supplies
- Support credit department by processing new customer credit applications
- Oversee new customer set-up process within accounting system
- Assist with customer invoicing – including daily billing and monthly contract progress billing
- Assist accounting department with monthly, quarterly and annual close processes and filing
- Support AR Manager with customer payment collections
An ideal Office Manager candidate possesses the following:
- Communication Skills: You will be collaborating with co-workers, management and customers. You will need to be able to listen and communicate effectively while always maintaining a professional demeanor.
- Attention to Detail: From ordering the correct type of staples to understanding company workflow processes, making sure every detail is right is crucial to your work to ensure our customers have an ideal experience with our company.
- Ability to multi-task and prioritize work autonomously: as a small business, employees are expected to work as a team but perform their job responsibilities and be flexible in adjusting to the demands of the industry and workload during peak busy seasons
- Calm under pressure: Given the time-sensitive nature of the construction industry, it is critical that this person understands urgency but works well under pressure and can retain a calm demeanor
Basic Qualifications:
· High School Diploma or equivalent
· 3-5+ years of related office experience.
· Billing or invoicing experience preferred
· Proficient computer skills, must be adept in Microsoft Word and Excel and basic accounting software (QuickBooks, Peachtree, etc)
· Technologically inclined – must be able to learn and adapt to new software programs/systems
· Must be extremely organized, self-reliant, proactive, detail oriented and work well under pressure
· Strong verbal and written communication skills
Software: Microsoft Office Suite (Microsoft Word, Microsoft Excel, Outlook)
QuickBooks or other accounting software
