Job Title: Administrative Assistant
Reports to: COO and Head of Client Relations
Key Responsibilities:
- Process invoices, payments, and other accounting transactions.
- Communicate with vendors regarding order status and outstanding invoice/payments
- Maintain and reconcile accurate records of financial transactions
- Support year-end audit processes and provide necessary documentation.
- Manage incoming and outgoing correspondence, including physical mail, emails and phone calls.
- Organize and maintain filing systems, both electronic and paper-based
- Manage paper requisitions for laboratory
- Audit medical documentation and maintain compliance
- Assist with data entry and maintain databases
- Support office management tasks, including inventory control and ordering supplies
- Support the planning and execution of company events and meetings
- Assist with special projects and other administrative duties as assigned
- Assist billing department with sending out claims and mail to insurance companies
- Assist client services department with supply and pickup requests for our facilities
Qualifications:
- High School Diploma or equivalent
- Valid Driver’s License
- Strong data entry and organizational skills
- Proficient with MS Office (Word, Excel, Outlook)
- Strong skills working with technology
Compensation and Benefits:
- Hourly: $19 - $23 an hour
- Full time: in person
