The Executive Assistant to the Accounting Director will provide high-level administrative support, ensuring that the Accounting Director can efficiently manage their workload. This role involves a blend of executive support, communication management, calendar oversight, and accounting-related assistance.
Key Responsibilities:
- Administrative Support:
- Manage the Accounting Director's calendar, schedule meetings, and coordinate travel arrangements.
- Screen phone calls, emails, and inquiries, responding or redirecting as appropriate.
- Prepare presentations, reports, and correspondence, ensuring accuracy and timely delivery.
- Maintain confidential files, records, and reports.
- Meeting and Event Coordination:
- Prepare agendas, take minutes, and follow up on action items for accounting-related meetings.
- Organize department meetings and events as needed.
- Accounting Assistance:
- Support accounting team with data entry, file organization, and invoice processing.
- Assist in compiling reports for audits and financial reviews.
- Track departmental expenses and assist in budget preparation.
- Project Management:
- Assist in tracking key department initiatives and follow up on project timelines.
- Coordinate cross-departmental projects as assigned by the Accounting Director.
- Communication Liaison:
- Act as a point of contact between the Accounting Director, accounting team, and other departments.
- Ensure clear communication and smooth workflow within the team.
Qualifications:
- Education & Experience:
- Bachelor’s degree in Business Administration, Accounting, or related field (preferred).
- 3+ years of experience in an executive assistant role, ideally supporting finance or accounting teams.
- Familiarity with basic accounting principles is a plus.
- Skills & Competencies:
- Strong organizational skills with the ability to manage multiple tasks and priorities.
- High level of discretion in handling sensitive information.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and accounting software (Oracle, Concur, etc.).
- Attention to detail and a proactive approach to problem-solving.
