Position Description
As a key member of CIRA's Finance team, the Payroll & Accounting Specialist will play a vital role in managing payroll functions. The main responsibilities include processing payroll and expense reimbursements, addressing employee inquiries, and supporting additional accounting needs. The ideal candidate will have expertise in accounting and payroll systems, preferably Paycor, along with a strong attention to detail.
Core Functions Of The Position
A Payroll & Accounting Specialist's responsibilities include:
- Review and analyze timesheets for accuracy to ensure data, time integrity, and perform corrections as needed
- Process payroll bi-weekly
- Calculate and input employee benefit deductions & reimbursements accurately into the payroll system
- Maintain accurate payroll records, including employee data, tax forms, and deductions
- Ensure compliance with federal, state, and local payroll and tax laws and regulations
- Address employee inquiries regarding paychecks and statements
- Conduct semi-annual payroll audits
- Prepare annual reports to evaluate payroll system efficiency and reliability
- Process invoices and ensure timely payments
- Maintain organized financial records and documentation
- Assist with budget tracking and variance analysis
- Collaborate with the HR department regarding payroll processes
- Collaborate with the finance team on special projects as needed
Qualifications
- Minimum 1 – 3 years of payroll processing experience. Some A/P and bookkeeping experience is strongly preferred
- Bachelor’s degree from an accredited college/university in accounting or finance or equivalent combination of education and experience to successfully perform the essential duties of the job is preferred but not required
- Strong understanding of wage laws, payroll principles, federal, state, and local tax regulations
- Strong commitment to CIRA'S mission and values in serving immigrants/refugees/newcomers
- Deep understanding of and ability to work sensitively and well with people of diverse national, ethnic, cultural, religions, gender identities, and socioeconomic backgrounds.
- Fluency in using Office 365 applications (ex. Outlook, Word, Excel, SharePoint, etc.) and a strong ability to learn new software is required
- Experience using Paycor software is strongly preferred
- Demonstrates responsibility through reliable attendance, effective time management, dependability, self-discipline, flexibility, and the ability to work independently
- Maintains the highest level of professionalism and confidentiality regarding personnel information and records
- Possesses strong analytical skills to resolve payroll discrepancies effectively
- Exhibits excellent organizational skills, with the ability to thrive in a deadline-oriented environment while maintaining a high degree of accuracy and attention to detail
- Exhibits strong interpersonal communication skills with colleagues and internal staff
- Embraces departmental and organizational changes, showing adaptability in a rapidly growing and evolving environment
- Ability to pass all required background checks
- Must be authorized to work in the United States

WORKING CONDITIONS
- This job consists of regularly sitting at a desk and using a computer and phone.
- Workdays pertain to a Monday – Friday schedule, 8:30 AM - 5:00 PM, with no weekends required
Compensation
- Pay rate starting at $25.00 per hour, commensurate with experience.
