Overview of the Role
The Operations Support role at our Asset Management firm is a critical position that ensures the smooth and efficient functioning of our investment trading and private investor services. Reporting directly to the Operations Director, the Operations Support professional will be responsible for a variety of tasks that contribute to the overall growth and success of the company. This role requires a detail-oriented individual with strong analytical skills and a deep understanding of asset management operations.
Key Responsibilities
- Trade Processing and Settlement: Ensure accurate and timely processing and settlement of FX trades across various asset classes on daily basis.
- Cash Management
- Client Reporting: Prepare and distribute regular and ad-hoc reports to clients, ensuring accuracy and compliance with regulatory requirements.
- Data Management: Maintain and update client and investment data in the firm's systems as well as third party vendor systems (Pipedrive / distribution lists / Fund platforms & Way stone liaison), ensuring data integrity and accuracy in system. Keeping Seasonality & Expected IRR spreadsheet up to date.
- Compliance Support: Assist in documenting compliance processes and ensuring that all operations comply with regulatory requirements and internal policies.
- Reconciliation: Perform daily, weekly, and monthly cash reconciliations of accounts, transactions, and positions.
- Issue Resolution: Identify and resolve operational issues promptly, escalating to the Operations Director when necessary.
- Process Improvement: Continuously seek opportunities to improve operational processes and enhance efficiency.
- Support for Private Investors: Provide dedicated support to private investors, addressing their queries and ensuring their needs are met.
- Documentation: Maintain comprehensive and up-to-date documentation of operational processes and procedures. Also maintain Fact sheet and Pitch book table updates.
- Collaboration: Work closely with other team members, including Compliance, Risk Management, and Client Services, to ensure seamless operations.
- Office Management: Dealing with day-to-day office management tasks from time to time.
- Other Reporting: Way stone monthly and quarterly reporting.
Required Qualifications and Skills
- Education: Bachelor’s degree in finance, Business Administration, or a related field.
- Experience: Minimum of 3 years of experience in operations within an asset management firm, investment trading, or a similar environment.
- Technical Skills: Proficiency in Microsoft Office Suite, particularly Excel; experience with trading platforms and financial software.
- Analytical Skills: Strong analytical and problem-solving skills with a keen attention to detail.
- Communication: Excellent verbal and written communication skills.
- Organizational Skills: Ability to manage multiple tasks and priorities in a fast-paced environment.
- Regulatory Knowledge: Understanding of relevant regulatory requirements and industry standards.
Preferred Experience
- Experience with portfolio management systems and trading platforms.
- Familiarity with various asset classes, including equities and derivatives.
- Previous experience in a client-facing role within the financial services industry.
Typical Working Hours
- Standard working hours are Monday to Friday, 9:00 AM to 5:00 PM.
- Occasional overtime may be required to meet deadlines or address urgent issues.
Reporting Structure
- The Operations Support professional will report directly to the Operations Director.
- This role may also involve collaboration with other team members.
